Office Procedures

With local offices around the state, each office location is unique in regard to setup and specific procedures.

Typically, guardianship staff spends the majority of their time out of the office and in the field.  However, it is important to orient yourself with your office location and to set up office hours that you will be available.

COVID-19 Pandemic Office Procedures

Guardianship, at the direction of CHFS and the Personnel Cabinet, implemented several office procedures during the pandemic to maintain the health, safety and welfare of employees, individuals under guardianship, and provider agencies.

These procedures included:
– work from home and 24/7 work schedules,
– virtual meetings and communication via Zoom, Microsoft Teams, Face Time, webinars, phone calls, etc.

Staff are required to follow all current pandemic related policies and procedures.  The policy changes may impact guardianship face to face and in-person facility visits, travel, court appearances and meetings. 

This is continually changing, and all new staff will be advised by their supervisor on any pandemic related policies that may be in effect.
 

Traveling between individuals under guardianship can be difficult to manage at times and does require a lot of foresight and planning efficient routes, allocating time to travel between destinations, and allow adequate time for visits.  Sometimes I do start my day a bit early or work a little bit late to fit in visits.  I used to plan stops to the office between visits to catch up on documentation and notes.  I am lucky that my office has lots of parking and it is easy to come and go. My home is out of the way of many of my typical travel routes, so I tend to do most of my documentation at the end of the day.

I have been slowly getting more appointments scheduled and traveling a lot more.  It has its challenges, but I love driving and visiting with individuals under guardianship. I enjoy splitting my time working from the office, at home, and in the field.  It’s great having technology and equipment that allows me to work from anywhere. The state cell phone has been a great tool, the hot spot allows me to have easy access to the internet.
