Inserting a New Individual

New individuals under guardianship and changes to current individuals will need to be completed in KYGFIS periodically. This section will review 6 steps to inserting and updating information.

Before inserting any new individual into the system make sure to do a search each time to ensure that there is no accidental duplication.

Events

Events are any case notes or significant incidents associated with an individual under guardianship and can include visits, phone calls, or inventories. Files can also be attached to any event.

Once an event is saved, it can be modified by the user for 24 hours

Contacts for individuals under guardianship will need to be inserted into KYGFIS. Let’s practice in the Sandbox.

Let’s Give it a Try!

1.) Open and log into the Sandbox using the button below. Check the URL to ensure that you are accessing the Sandbox.

NOTE: It is very important to ensure that you are using the sandbox and not the live KYGFIS system.

2.) Search for the individual under guardianship by Last Name, First Name (Doe, Jane). Use a name provided to you by your supervisor.

3.) In the left hand navigation panel choose the link “Contacts”.

4.) Click the “Insert” button.

5.) Complete the fields with all information known about the contact that you are entering.

6.) Click “Save”.

7.) Repeat the steps to insert multiple contacts

Welcome to the Kentucky Guardianship Fiduciary Information System (KYGFIS) training. In this training, we will review some of the common functions of using KYGFIS to record information, update individuals’ information, and run reports.

A Reminder from Aida:

This course is part of a series of trainings required for all new employees. All new hires are required to satisfactorily complete trainings before being assigned cases.

All courses must be completed in order and in a timely manner.

Check SSL

If you are going to take payments on your course platform, it’s important that your users credit card information can’t be stolen. Always use web addresses that start with https:// when accepting payments on a website.

Security Certificates used to be something you paid extra for, now they tend to be included in most web hosting plans. Make sure https is included with your plan!

Questions to ask

  • Does your webhost include a free security certificate, or SSL?
  • If not included in your hosting plan, are you able to purchase separately from your webhost?

Options to Consider

Add “Comes with Webhost” or list a separate SSL Provider and cost on your budgeting sheet next to SSL.

Lesson 2: Key Characteristics of the Council

Carla: “Let’s learn about the Council by familiarizing ourselves with some key characteristics.”

There are no other organizations like the DD Councils. They are unique in the way they are funded and operated. Some features include:

  • Being a state/ territory entity. 
  • Volunteer Council members guide the work.
  • Has the power to make decisions.
  • Gets money from Congress each year.
  • Is looked after by a federal agency and office.
  • Must obey federal law(s), regulations, policies, and other rules.
  • The focus is on people with developmental disabilities and community living.
